HOTEL ACCOMMODATION

The Secretariat has reserved hotel accommodation at the Novotel London West Hotel and Convention Centre and a selection of local hotels. Rates quoted (in UK £ sterling) are per room per night and include VAT at the prevailing rate (currently 17.5%). These are the best rates available to the Secretariat at the time of placing their group booking. The Secretariat will not increase the rates listed in this conference announcement.

Delegates are free to book their accommodation directly through the internet, where it is possible that a lower rate will be advertised. In many of those cases, only a small number of rooms are available at the reduced rate and unfortunately, the Secretariat cannot match these lower rates offered by other agencies on the internet. The Secretariat will not be responsible for any bookings that are made through external organisations or directly with any hotel.

HOTEL ACCOMMODATION BOOKING AND PAYMENT
The full hotel room cost is payable at the time of booking in order to reserve hotel accommodation. Confirmation of your reservation will be sent to you on receipt of the Registration/Accommodation Form and the relevant payment. Subsequent changes to accommodation requirements should be directed to the Secretariat, not the hotel. The cost of room extras, e.g. telephone calls, laundry etc. should be paid by the individual to the hotel on departure.

HOTEL CANCELLATIONS AND REFUNDS
Hotel payments will be refunded in full if written notice is received before 15th May 2008. There will be NO refunds for cancellations received after this date unless the room is subsequently resold. Named substitutions will be permitted at any time. Please note, at the discretion of the Secretariat a charge of £10.00 may be levied for changes to hotel accommodation. Payment of any refunds due will be made by the secretariat after the conference.
